The MySchool App allows administrators to run the end-of-year wizard to promote and graduate active students. The process is designed to make student transitions as smooth as possible. This guide will walk you through the steps to successfully run the end-of-year wizard.
Step 1: Set Up the Next Class for Each Active Class
- Go to "School Basic" and then click on "Classes."
- Double-click the first class (or click it once and select "Edit").
- In the new window, select the "Next Class" tab.
- Click "Next" (at the top right) to examine all the classes and make sure the correct class is listed for promotion.
- Repeat the process for all active classes.
Step 2: Close All Terms
- Go to "Maintain" and then select "Set Up School Year."
- Navigate to and select the relevant year, then click on "Terms."
- Check the box labeled "Closed" for each term.
- Click "Next" and "Save" for each term.
Note: While the terms must be closed, the school year must remain open so the wizard can run.
Step 3: Run the End-of-Year Wizard
- Go to "Process" and then select "End-Of-Year Wizard."
- Read the warning (optional), then click "Next."
- In the following window, click "Next" again.
- Click "Begin." The system will graduate Grade 11 students and promote the others.
- After selecting "Begin," close the window that appears by clicking "OK."
Note: While the wizard is running, it may appear as "Not Responding." This is normal for this process.
Step 4: Verify Successful Completion
- Once the wizard has successfully completed, you will see a confirmation window.
- Return to "Set Up School Year" to see that the wizard has automatically closed and promoted the year in question.
Step 5: Open the New School Year and First Term
- Go to "Maintain" > "Set Up School Year."
- Select the new school year and click "Edit."
- Uncheck the "Closed" box and click "Save," then close the window.
- Double-click the year to open "Terms."
- Uncheck the "Closed" box for the first term.
