1. Introduction
This guide will help you understand how to use the attendance module of MySchoolJamaica.com. The module allows for traditional attendance recording for homeroom students. Attendance for subject classes is managed through the mobile app.
2. Accessing the Attendance Features
-
Log in to MySchoolJamaica.com as a teacher.
-
From the sidebar menu, select Attendance. This will load the attendance register.
3. Understanding the Attendance Register
The attendance register simulates the manual or paper-based attendance register traditionally used in schools. It lists all the students in a class, sorted alphabetically by gender, along with columns for each weekday, Monday through Friday. Each day has two columns, one for AM (morning) and one for PM (afternoon) attendance.
Only the homeroom teacher and grade supervisor can access the register for a specific group. When you open the register, it automatically loads the names of the students for the homeroom that you're assigned to, as well as the current week, based on the date. If the names did not load, ensure your homeroom class is selected in the class drop-down list. If you class is not in the list or the list is empty, it means you are not assigned as a homeroom teacher, in such cases speak to your systems administrator.
4. Using the Register Filters
The register has three filter fields:
- Year: The period of attendance
- Week: The academic week
- ClassID: The homeroom class
Use these fields to filter and view specific attendance data.
5. Functional Buttons on the Register
There are four function buttons on the register:
-
Reload Register: Refreshes the list if a student joins the class late.
-
Fill Task: Allows automatic filling in of attendance status (P - Present, L - Late, E - Excused, A - Absent, S - Sick).
-
Save: Saves your changes.
-
Import: Imports data from the Classroom LMS.
6. Marking Attendance
-
To take attendance, select the Year, Week, and Class from the filter fields.
-
Click the cell adjacent to a student's name and the day and session of interest. The cell will toggle through the attendance status values (A, L, E, S, P,[BLANK]) in that order.
7. Using the Fill Task Function
The Fill Task function allows you to quickly fill in attendance for all students, especially useful when most students have the same status.
-
Click the Fill Task button.
-
Specify the Day of the Week, Session, and Status you want to fill in.
-
There's a checkbox that you can tick to indicate if the fill should overwrite any existing values. By default, it will not remove any values already written.
-
Click Apply to populate the selected status to all applicable cells
8. Saving Your Changes
-
Once you've made all your attendance marks and utilized the Fill Task function as needed, remember to click the Save button to commit your changes. The attendance module does not autosave, so this step is essential to ensure all your work is recorded.
This concludes our guide on using the Attendance Module on MySchoolJamaica.com. Remember, attendance for subject classes should be managed using the mobile app. For further assistance, please refer to additional help articles or contact our support team.
