Accessing the Notes Feature
Teachers

Navigation:
- Select "Notes" from the sidebar menu. This will open the notes window.
- You will see three view options: My View, Grade View, and Homeroom View.
- My View: Shows all notes you have recorded.
- Grade View: Shows all notes recorded for students at the grade level you supervise (if you have that role).
- Homeroom View: Shows notes for your homeroom students (if you have that role).
Administrators or Principals

- Select "Tasks" > "Notes" from the sidebar menu. This grants you complete view access to all notes within the system.

Viewing and Adding Notes

Start Page: Upon navigating to the notes section, you will see a list of all recorded notes. If there are no notes recorded, the page will be empty with a prompt to start adding notes.
- Add Button: To add a new note, click the "ADD" button located at the top-right corner of the screen.
Adding a New Note
- Note Ticket: After clicking the "ADD" button, a "Note Ticket" form will pop up. This form is used to input the details of the note you want to record.
Types of Notes

Note Type: There are different types of notes you can select from the "Note Type" dropdown menu:
- Achievement: Record significant accomplishments by students such as academic awards, sports achievements, or participation in extracurricular activities.
- House Point: Allocate points to students as part of a house or team system. This is often used in schools to promote healthy competition and reward positive behavior or achievements.
- Incident: Document negative occurrences involving students, such as disciplinary issues, accidents, or other events that require formal recording.
- Merit: Award merits to students for good behavior, outstanding performance, or any other commendable action that deserves recognition.
- Responsibility: Note the responsibilities assigned to students, such as being a class monitor, head boy, head girl, or other leadership roles.
- Other: Use this category for any notes that do not fit into the above types but still need to be documented.
Recording an Incident
When you select "Incident" as the note type, the form will adapt to capture specific details related to the incident.

Incident Form Fields:
- Date and Time: Automatically populated with the current date and time. You can modify it if needed.
- Location: Select the location of the incident (e.g., On Campus).
- Status: Choose the current status of the incident (e.g., Reported).
- Student(s) Involved: Select the student(s) involved in the incident. This field is required.
- Incident Type: Select the type of incident from the dropdown menu.
- Show Incident Details?: Toggle to yes or no. If yes, additional details can be entered in the provided text area.
- Details of Incident: Enter a detailed description of the incident. This field is required.
- Any Witness?: Toggle to yes or no. If yes, enter the details of the witness(es).

Additional Incident Details:
- Any Injuries?: Toggle to yes or no. If yes, enter the details of the injuries in the provided text area.
- Sanction: Select any sanctions applied from the dropdown menu and specify the value (e.g., points deducted).
- Notes | Comments | Action Taken: Enter any additional notes, comments, or actions taken regarding the incident.
- Show on Report Card?: Toggle to yes or no to indicate if this note should appear on the student's report card.
Saving the Note
- Save or Delete: Once all the necessary information is filled out, you can either save the note by clicking the "Save" button or delete the note by clicking the "Delete" button if you do not wish to keep the record.
