With the advancement of technology, mobile apps have become essential tools for streamlining tasks and improving overall school management. The MySchool mobile app is designed with powerful features to make school management more efficient and accessible than ever before. One such feature is the Notes feature, which allows you to create and manage various types of notes on student files.
The Importance of Notes in School Management
Incidents are a common occurrence in schools, and having an effective way to document and manage them is essential for maintaining a safe and orderly environment. With MySchool, we recognize the importance of keeping track of all kinds of notes on students, including positive achievements and various responsibilities, in addition to incidents.
Introducing the MySchool Notes Feature
Our Notes feature enables users to easily record and manage different types of notes on student files. Think of an incident as a specific type of note, where you can document any events or situations that involve students, whether they occur on or off-campus. By using our mobile app, you can effortlessly keep track of incidents, as well as other types of notes like achievements, house points, merits, and responsibilities.
This guide will walk you through the steps to view, add, edit, and delete notes in the app.
Accessing the Notes Feature
- Open the MySchool mobile app on your device.
- On the main menu dashboard, locate and tap the "Notes" option.
Viewing Notes
Upon selecting the Notes option, you will see a list of all previously added notes. Each note in the list displays the student's image, name, date and time, the person who reported it, the status, and the type of note.
- To search for a specific note, tap the finder icon and enter relevant keywords.
- To refresh the list, tap the refresh button.
- To filter notes by sanctions applied, use the sanction filter.
Viewing, Editing, and Deleting Notes
- To view a note in detail, tap on the note.
- To edit or delete a note, swipe right on the note to reveal options with edit and delete icons.
- If you choose to delete a note, you will be prompted to confirm your action.
- If you choose to edit a note, you can modify the existing note and tap "Save" to save your changes.
Adding a New Note
- Tap the "+" icon to add a new note.
- A new form will appear asking for the following information:
- Date and time
- Type of note (achievement, house point, incident, merit, responsibility, other)
- Location of the incident (on-campus, off-campus, N/A) if the note type is "incident"
- Status (closed, in progress, pending, reopened, reported, resolved)
- Students involved: tap to open a window to select multiple students who were involved or the subject of the note
- Incident type if the note type is "incident"
- If the note type is "incident," additional fields will appear:
- Show incident detail switch: toggle to reveal a rich textbox for recording incident details
- Any witnesses: tap to open a window to select multiple witnesses
- Any injuries: tap to open a window to select injured students
- Sanction drop-down (demerit, detention, expelled, suspension, probation, order mark, other)
- Enter notes or comments on actions taken in the provided text field.
- Tap the "Save" button to save your new note.
With this guide, you are now equipped to utilize the new Notes feature in the MySchool mobile app, enabling you to manage school incidents and achievements more effectively.
