At the end of the year, the system is able to run the end of year wizard to promote and graduate the active students.
The first thing you will need to do is tell the system what to do with the students moving from one class to the next. To do this you will need to go to school basic then classes.
This will open a list of the active classes at the school. You will need to double-click the first class (or click it once it and select edit). When the new window pops up, select the "next class" tab and click next (at the top right) to examine all the classes to make sure the correct class is listed for the promotion.
After checking that each active class has a "next class" listed, the next step is to check that all terms are closed. To do this you will need to go to "maintain", then select "set up school year".
When the set up school year tab opens, navigate to and select the relevant year then select "terms".
When the terms window appears, check the box labeled "closed" for each term. You will need to click next and save for each term.
Although the terms must be closed, the school year MUST remain open so the wizard can run.
Now, the next step is where the magic happens. To run the end of year wizard, go to process then select "End-Of-Year Wizard".
When you get there you may read the warning (or not), click next.
The following window will appear. Click next.
Then begin. The system will graduate the grade 11 students and promote the others.
After selecting begin close, the following window will appear. Click Ok.
While the wizard is running, it may say that it is not responding. However, this is normal for this process.
When the wizard has been successfully completed, the following windows will appear.
When you return to set up school year, you will notice that the wizard automatically closed and promoted the year in question.
After the wizard has completed the process successfully, you will need to open the year and the first term. To do this go to Maintain > set up school year >select the new school year, click edit,
Then uncheck the closed box and click save (then close).
After this, double click the year to open terms > uncheck the closed box for the first term.
